Managed office vs coworking vs lease: how to decide

How a managed office, a coworking space and a conventional office lease differ on fit-out, control, commitment and cost, and which suits your team. · Updated 31 October 2026

There are three common ways to get an office for a team in India: take seats in a coworking space, have an operator build and run a managed office for you, or lease space yourself. This guide explains the trade-offs. It has no made-up cost comparison: the right answer depends on your headcount, how long you will stay and how much you want to manage yourself.

The three options

  • Coworking: you buy desks or a private cabin inside a shared centre run by an operator. The operator provides furniture, internet, housekeeping, reception and shared meeting rooms.
  • Managed office: an operator sets up a private office for your company only, often to your layout and branding, and runs it for a single monthly fee.
  • Conventional lease: you rent space from a landlord, then fit it out, furnish it and run it yourself or with vendors.

Managed-office prices depend on the fit-out, headcount and term, so operators usually quote them on request. For comparison, coworking prices that operators do publish are in our plan guide.

Choose coworking if

  • Your headcount may change in the next year.
  • You need to move in quickly and don't want to manage an office.
  • Shared meeting rooms and common areas are enough for you.

Choose a managed office if

  • You want a private, branded office without running the fit-out and facilities yourself.
  • Your team is large enough to fill its own floor or wing.
  • You prefer one monthly fee to paying for fit-out up front.

Choose a conventional lease if

  • You are confident of your headcount and location for several years.
  • You want full control over design, vendors and running costs.
  • You have the cash and the people to manage a fit-out and the office after it.

Compare total cost over the whole term

A per-month price alone is misleading. For each option, add up everything you will pay from signing to leaving: rent or fees, security deposit (and whether you get it back), fit-out, furniture, maintenance, utilities, internet, housekeeping, GST and the cost of leaving early. Then divide by the months and the seats you will actually use.

Tax can differ too. Under section 17(5)(d) of the CGST Act, input tax credit is not available on goods or services received for construction of an immovable property on your own account, and "construction" includes renovation, additions or alterations to the extent they are capitalised (CGST Act, section 17, CBIC). Ask your accountant how this applies to a fit-out you would pay for.

Frequently asked questions

What is a managed office?

A private office for one company that an operator sets up, often to the company's layout and branding, and then runs for a single monthly fee covering the space, furniture and services.

Is a managed office cheaper than a lease?

It depends on your headcount, the term and the fit-out. Compare the total cost of each option over the whole term, including deposit, fit-out, furniture, running costs, GST and exit costs, not just the monthly figure.

How many managed offices are listed on Desk Daddy?

As of 1 November 2026, 314 centres listed in 15 cities offer managed offices.

Can a coworking space work for a large team?

Yes, if the centre has a large enough cabin or can combine cabins. Beyond that size, ask the operator about a managed office in the same building.
